REPORTING
Create a weekly report from a spreadsheet with Gemini
Turn rows and columns into a concise update with changes, concerns, and questions worth checking.
A spreadsheet can contain all the numbers and still fail to tell anybody what happened. That is usually where the weekly-report work begins: compare this week with last week, find the unusual changes and turn rows into an explanation somebody can act on.
Gemini can prepare that first draft from an uploaded spreadsheet. The important part here is first draft. It can organise the story, but the person who understands the business must check the calculations and decide what the changes actually mean.
I like this as a beginner AI task because the source and the answer can sit next to each other. We do not have to trust the prose blindly; we can take every important claim back to a row in the spreadsheet.
Quick answer
- Good for: a report you rebuild from similar numbers every week
- First task: one small, clean spreadsheet you already understand
- Difficulty: beginner
- Cost: start with your existing account; paid plans offer higher file limits
- Open it: go to Gemini
Cost check
Use the Gemini account and spreadsheet tool you already have. Test the process on one report before paying for a different plan or another reporting product.
Time how long the old report takes, then time this method. A paid option is worth considering only when the saving is regular, the numbers are dependable after checking, and the monthly price fits the value of the time saved.
Step 1: Prepare the spreadsheet
The file does not need to be beautiful, but it should be understandable.
- Give each column a clear heading.
- Keep dates in one consistent format.
- Remove empty summary rows that could be confused with data.
- Remove personal or sensitive information that the report does not need.
- Include the previous period if you want a comparison.
Gemini can work with uploaded spreadsheets and make charts from the data. The file size and available options depend on your account. If uploading is not available, begin with a small table pasted into the chat. Google lists the current steps and limits in its file upload guide.
Step 2: Ask Gemini to inspect before writing
Upload the file and begin with a checking prompt:
Inspect this spreadsheet before writing a report.
Tell me:
1. What each column appears to represent
2. The date range covered
3. Any blank, duplicated, or inconsistent rows
4. Any assumptions you would need to make
5. Three questions I should answer before you analyze it
Do not calculate the final report yet.
This gives you a chance to correct a misunderstood column or missing date before Gemini produces a confident-looking report from the wrong interpretation.
Step 3: Generate the first draft
Once the file has been understood correctly, use a prompt like this:
Create a weekly management report from this spreadsheet.
Include:
- a five-sentence summary;
- the most important changes from the previous week;
- results that are above or below target;
- unusual values worth checking;
- three questions management should discuss; and
- a table showing each key number, the previous result, the current result,
the change, and the source rows used.
Separate facts from interpretation. Label any estimate clearly.
Use KES for money and do not invent missing values.
Change “management,” the currency, and the measures to suit your report.
Step 4: Check the numbers yourself
AI can misread a column, choose the wrong comparison, or make a calculation error. Before sharing the report:
- Recalculate the most important totals in the spreadsheet.
- Check any surprising increase or decrease against the source rows.
- Confirm that the date range is correct.
- Remove statements that the data does not support.
- Add the business explanation Gemini cannot know, such as a promotion, stock shortage, or public holiday.
Step 5: Turn the result into a reusable template
After you approve the first report, ask Gemini to create a reusable prompt:
Based on the report we just checked, write a reusable prompt for next week.
Include the required spreadsheet columns, the checks to run first, the exact
report sections, and a reminder that a person must verify all important numbers.
Keep that prompt beside the report template. The next week, you can upload the new file and repeat a process you already understand.
That repeatability is the real win. The goal is not a more impressive report. It is a report your team can prepare, check and use without rebuilding the thinking from scratch every Friday.
If people still spend Friday assembling the source data by hand, read how AI integration can return decision-ready information before adding more prose to the report.
