Connected Business Systems

AI agents that work with what your business knows.

AI models are widely available. What your business knows sets it apart: your customers, past decisions, working practices and team experience. That knowledge is often spread across messages, spreadsheets, business systems and people. We connect the relevant information, make its context clear and build reports and AI agents around your work.

YOUR KNOWLEDGE IS A BUSINESS ADVANTAGE

Put your experience within reach of the people doing the work.

Your team knows which customer arrangements matter, why a supplier changed and how an unusual request was handled. That experience can be one of your strongest competitive advantages. It needs its meaning, source and history to remain useful.

We help you make selected knowledge accessible to the right people and agents. Context means the background that explains a record: what it refers to, when it was true, who is responsible and which rules apply.

Your agents are set up around your tasks, approved information and permissions. They can find answers and prepare work across the tools you use, while your business systems keep the official records and people retain judgement.

ONE CONNECTED APPROACH

Connect the knowledge. Understand it. Put it to work.

Integrations, data analysis and AI work together around the task you need to improve. The examples below explain the approach; they are not client results.

Connect the information

Customer history, orders, procedures and team notes sit in separate systems, documents and spreadsheets. Staff search several places or ask someone who knows.

WHAT COULD CHANGEConnect the approved sources your first task needs. Keep record ownership and access clear, and make missing details or failed transfers visible.

Keep the context that makes it useful

A number or an old message cannot always explain what happened. Staff know why a customer needs a different approach or why a process changed.

WHAT COULD CHANGECompare sales, costs and work records alongside relevant history, procedures and team explanations. Build reports with clear measures, sources and dates, and flag gaps for someone to check.

Give your agents a useful job

Staff repeat the same searches, explain familiar procedures and assemble reports before they can respond or decide what to do.

WHAT COULD CHANGESet up agents to find company answers, compare records or prepare a reply and follow-up. They use the agreed context and permissions, with people checking important decisions.

WHAT THE FIRST PROJECT INCLUDES

Agree on the work before committing.

  • One agreed business question or task, with a starting point and a way to check improvement.
  • A map of the required records and team knowledge, source owners, permitted access and necessary connections.
  • A focused working result: a connection, report, dashboard or AI helper, or the combination that the task needs.
  • Testing with staff, including missing information, conflicting records, failed transfers and human review.
  • Instructions, a named owner for exceptions, written software and usage costs, handover and support terms.

Tool access, connection limits and any extra charges are checked before agreement. Incomplete records limit what a report can explain; a pattern does not prove its cause. AI can make mistakes, so missing or conflicting information goes to a person. A project can use integrations and reporting without AI.

AGREE THE BOUNDARIES

Useful context, clear permissions and people in control.

Choose the information

Agree which sources the task needs, who may access them and how they stay current. Processing locations, storage and retention are explained before work begins.

Set the authority

Define what an agent may read, draft or change, which actions need approval and who can pause it. Access and action limits must be enforced by the connected systems.

Check the result

Keep relevant sources, proposed actions and outcomes reviewable. Conflicting records, uncertainty and failed steps go to a named person. Test representative work before wider use.

A WORKING GARATROPIC PRODUCT

See one part of the approach in Snapsheet.

Snapsheet reads Kenyan receipt photos and PDFs, prepares structured details and lets a person check and export them. It demonstrates turning source documents into usable records; company agents and reports need their own agreed scope and testing.

  1. 01

    Add a receipt

Upload a receipt photo or PDF to Snapsheet.

  2. 02

    Check the details

Review the merchant, date, totals and other captured details.

  3. 03

    Export the records

Download an Excel or CSV file for your next bookkeeping step.

PRACTICAL QUESTIONS

Know what your agents need and what to expect.

What do you mean by agents for our business?

Agents are software helpers set up for specific tasks, with agreed company information, tools and permissions. We use existing models where suitable. Having agents for your business does not require training a new model or moving every record into one place. Software ownership and hosting are agreed in the proposal.

Our knowledge is scattered. Do we need to organise everything first?

No. We start with the sources one task needs, including relevant documents, spreadsheets, system records and explanations from your team. We identify missing or outdated information, agree who maintains it and test whether it supports useful answers.

Can we start with connections or reports without AI?

Yes. A reliable connection or a clear dashboard may be enough. Integrations, data analysis and AI are parts of one service, used according to the work. You do not need to buy all three.

Will an agent know everything our team knows?

No. It can use only the information and tools available to it, within the permissions set. Undocumented experience, stale records and conflicting sources can leave gaps. Staff help check the context, and uncertain or important decisions remain with people.

Can it work with our current tools and protect sensitive information?

We check available connections, account limits and access controls before recommending an approach. We agree which information each role may use, where it is processed and stored, how long it is retained and which actions need approval. The design depends on your requirements and the tools involved.

What does the first project cost, and who looks after it?

We scope one task and agree the setup price, expected software and model usage costs, testing, handover and support before paid work. We also agree a way to check improvement, such as time spent assembling reports or searching for information, before deciding whether to expand.

START WITH THE QUESTION

What does your team keep searching for or explaining?

Tell us about a repeated question, a report that takes too long or a follow-up that gets missed. We’ll identify the knowledge, connections and checks a useful first solution needs.
