Business Software Setup

Keep track of customers, orders and what happens next.

When customer details are scattered and staff keep chasing updates, everyday work takes longer. Garatropic helps set up or improve your business software so your team can see what is happening, who is responsible and what needs doing next.

  1. EnquiryAmina · sales

A customer asks for 20 chairs. Amina records the request and when to reply.

  2. OrderAmina · sales

The customer accepts the quote. Amina confirms the agreed items and delivery details.

  3. DeliveryDavid · dispatch

David checks stock and records the delivery update against the same order.

  4. InvoiceGrace · finance

Grace checks the delivered items before preparing the invoice.

The next person can see the latest update and what needs doing next.

DOES THIS SOUND FAMILIAR?

The work gets harder when everyone has a different picture.

You may already pay for business software or be choosing your first shared tool. These illustrative examples show where a more useful setup could help.

01 / A FAMILIAR WORKING DAY
Any update?Follow upAmina · to review

We pay for software. Everyone still uses separate spreadsheets.

Customer details and updates sit in different places. Staff are unsure which version to trust.

WHAT COULD CHANGEGive the team one agreed place for customer records, someone responsible for each enquiry and a clear place to record the next step.
02 / A FAMILIAR WORKING DAY
Request #28AminaIn progress

Customers ask for updates. We have to ask around.

Sales says the order is confirmed. Delivery is waiting for stock. The customer has already called twice.

WHAT COULD CHANGEMake the order’s status, latest update and person responsible easy to find, so the next employee can pick up the conversation.
03 / A FAMILIAR WORKING DAY

We enter the same details again and again.

Someone copies customer and order details into a quote, a delivery record and an invoice. A small change means checking every copy.

WHAT COULD CHANGEReuse the agreed details where the software allows, with checks before information passes to the next person.

WHAT A FIRST PROJECT COULD LOOK LIKE

Start with one part of the work.

For example, we could start with customer follow-ups: a shared place for enquiries, someone responsible for each one, clear stages and agreed reminders. Your staff try it with sample work before it becomes part of their day.

  1. 01

    Show us the work

Walk us through a recent enquiry or order. We agree what needs to change, which records to use and what each person should be responsible for.

    Map the workWhere it waits
  2. 02

    Try it with your team

We set up the agreed steps and let staff try them with sample work. We check reminders, access and handovers, then adjust anything that gets in the way.

  3. 03

    Bring it into everyday use

We agree how to make the switch, provide instructions and hand the setup over. Your team knows where to get help and who looks after future changes.

  • One shared place for enquiries
  • A person responsible for each enquiry
  • Clear stages and agreed reminders
  • Instructions for everyday use
  • Agreed support and costs

Before the change, agree what to compare: for example, the time staff spend finding an order update or the number of enquiries without an owner. Review the first setup with the team against that starting point.

We agree what is included before paid work begins, including any records to move, staff training and support. The proposal explains the setup price and the costs that continue afterwards.

WHY WORK WITH GARATROPIC?

A setup your team can use and look after.

Start with how your team works

We look at the records, decisions and people involved. The aim is a setup staff can use in their normal working day.

Use what fits, adapt what is missing

We use the software’s existing features where they do the job. If a specific addition is needed, we explain the work and cost before building it.

Make ownership clear

We agree who updates records, who approves important changes and who maintains the setup. Your team receives instructions and a clear handover.

Maina Wycliffe leads the work. Before founding Garatropic, he built software with international product teams. His background in Information Science and Knowledge Management helps shape how we organise records and make responsibilities clear.

WORK WITH THE TOOLS THAT FIT

Already using Zoho, Odoo or ERPNext?

We can help improve how your team uses these tools, from customer follow-ups to orders, stock and invoicing. We check what your particular account supports before agreeing any changes or connections.

If you are still choosing software, we can help compare what fits the first task you want to improve. We explain the costs and practical limits before you decide.

BEFORE YOU START

What will this mean for your team?

The setup needs to fit your working day. We agree the changes, staff involvement, costs and support before you commit.

Do we have to replace our current software?

We first look at what your current tools can do. Better settings, shared records or clearer steps may be enough. If different software would help, we explain the reasons, the changes involved and the costs before you decide.

Can we keep working while changes are made?

We agree how the change will happen before switching everyday work to the new setup. That includes testing sample work, deciding when records will move and explaining any interruption your team should plan for.

What will our staff need to learn?

Usually, the steps that affect their work: where to record an enquiry, update an order or check what happens next. Staff try the agreed process and raise questions before the switch. We agree the instructions and any training needed as part of the project.

Who helps when something stops working?

Before work begins, we agree who to contact, what support covers, expected response arrangements and who maintains the setup. These details are written into the proposal so your team knows where to turn.

What costs continue after setup?

Depending on the tools you use, there may be software subscriptions, hosting, usage charges or ongoing support costs. We separate these from the setup price and explain them before you commit. Future changes are agreed separately.

Can you move our existing records?

We check what records you have and agree what needs to move. Your team reviews a sample before the transfer. A larger move needs a plan for checking the records, timing the switch and keeping staff informed.

Does this need AI?

No. Shared records, clear responsibilities and useful reminders may be enough. We only discuss additional tools when there is a specific part of the work they could help with.
